When we built Teamwork Spaces, we envisioned endless use cases for tons of different types of teams. In this series, we’re going through some of our favorites, to give you a few ideas about how Teamwork Spaces can work for you. In this post: product teams!
As every product team knows, building a product comes with a lot of documents. There are guidelines to follow, processes to adhere to, and specs to keep in mind, but when those important documents are hidden in random folders or email threads — or worse, in eight different places at once, all in slightly different versions that make it impossible to know which is the master document — they’re as good as useless. We know firsthand how frustrating this can be. And when you’ve put time and effort into creating important documentation, we think it deserves better. So we built Teamwork Spaces, to make all the important information your product team needs easier to create, easier to find, and easier to edit. Because when it comes down to it, having clearly outlined documentation helps you to streamline your processes and ship better quality products and features, faster. Here are six ways your product team can get the most out of Teamwork Spaces.
1. Keep all of your essential technical documentation in one central place
Use Teamwork Spaces to store your big picture plans (like your product roadmap), as well as specific guidelines (like your product specs and API docs). You can also use it to keep track of everyday applications, like customer use cases, to make sure you never lose sight of the end user’s needs and goals when you’re creating new features. No more lost documents or missing pieces. Instead, every developer is given all the information they need to stay informed — and it’s never more than a few clicks away.
2. Put your best practices into, well, practice
When you’re writing code, consistency is key. Use Teamwork Spaces to give everyone access to your documented your standards and guidelines, to ensure you’re all speaking (and coding in) the same language. Figured out a better way to do something? Leverage your best practices by documenting your approach so everyone on your team can read and repeat. Teamwork Spaces is ideal for SOPs, and with markdown and media support, you can add all the screenshots you need to make your how-tos crystal clear.
3. Capture better standup notes with collaborative editing
Make meetings more efficient. With collaborative editing, multiple users can type notes and see edits and changes as they’re being made in real time, on a per-character basis. Didn’t quite catch an important point? Someone else on the team can jump in to add it to the doc, ensuring you have full status updates with no gaps — and better records about how and why decisions were made, for posterity down the line.
4. Communicate important product information to the whole team with Required Reading
Whether it’s a how-to for fixing a tricky bug, the specs for a new feature, or a post-incident report explaining why something went wrong (and how to avoid it next time), Required Reading lets you ensure that no one on your team misses an important update. Assign important pages as Required Reading and they’ll show up for everyone until they mark them as read. No more missed memos or crossed wires — Required Reading lets every team member see exactly what they need to see.
5. Keep your code in-house
Here at Teamwork, we use Teamwork Spaces across our entire engineering function. Each team and sub-team uses it to document their own code conventions, useful snippets of code, and to outline best practices. Because of the access model on Teamwork Spaces, it’s easy to have common spaces where all engineers in a company can refer to and document information, as well as put more scoped, specific information in team-specific spaces. In fact, we’ve entirely moved away from using other popular sites for this, and can say we no longer rely on any other medium for storing this information — allowing us to host our knowledge entirely in-house.
6. Progress your workflow by syncing Teamwork Spaces with Teamwork
Use Teamwork to keep your product team on track? Teamwork Spaces works together beautifully with Teamwork for a faster, stronger, better workflow. Embed task lists from a project directly into a space, so you can quickly add to-dos as they arise, without needing to lose time and focus by constantly switching between apps. For example, you could embed a task list from Teamwork into a page with a product spec, allowing you to easily assign next steps. You can also use Embedded Chat to keep the conversation flowing, no matter which Teamwork product you’re working from. These are just a few of the ways Teamwork Spaces can help product teams to centralize their specs, share knowledge, and streamline their workflows, but we’d love to hear: how does your product team use document management software?
